03 / Our approach

The introduction
is just the beginning.

A useful AI hire needs the same things as any good delegation: context, a clear responsibility and a way to review the work.

01

The introduction

Tell us where the work accumulates.

We read your application to understand the team, the recurring task and the person who would review the output. A clear bottleneck is a useful starting point.

Hand-over / A conversation about fit
02

The working brief

Give the role a boundary.

Together, we define the inputs, deliverables, supported tools, expected volume and approval points. We inspect a sample and agree what a useful result would look like.

Hand-over / A written scope & proposal
03

The configuration

Teach the role your working method.

We document your priorities, accepted examples, reference structure, naming conventions and review rules. Those become a versioned role playbook. We choose the appropriate mix of instructions, retrieval and approved memory; any weight adaptation is a separate, evaluated step.

Hand-over / A configured first workflow
04

The pilot

Put a real assignment through it.

Use representative project material, including its gaps and contradictions. Review the result against the brief: source fidelity, usefulness, completeness and the work still required from your team.

Hand-over / A reviewable output & pilot assessment
05

The ongoing role

Build a repeatable working relationship.

If the pilot supports it, agree the recurring scope, capacity and support. Review new tasks before expanding authority or adding another workflow.

Hand-over / A monthly engagement, with an agreed remit

The same care as a new hire

Show it what
matters here.

Explain what comes first when priorities compete. Show an accepted result and one you would send back. Identify who can decide, what needs approval and how a correction should change the next assignment.

Those expectations become explicit company context. The technical note explains how instructions, retrieval, private memory and optional fine-tuning serve different purposes.

Inside the employee

The pilot review

Decide from the work.

Traceable

Can the reviewer identify the source and method behind the important statements?

Useful

Does the output fit the next step in your actual project workflow?

Bounded

Are assumptions, omissions and decisions requiring approval clearly identified?
